Legal Research Analyst - Nashville, Atlanta, Baltimore or Washington, D. C.

Baker, Donelson, Bearman, Caldwell & Berkowitz, PC, an AM Law 200 firm, is actively seeking a Legal Research Analyst. The position will be responsible for providing reference and expert research services firm-wide under general supervision and according to Firm policies and procedures. The Firm office locations of Nashville, Atlanta, Baltimore and Washington, D.C. are preferred; however, additional Firm office locations may be considered.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential functions are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

  • Demonstrates the ability to work efficiently, maintain high productivity, and consistently deliver a reasonable volume of quality work within established deadlines.

  • Assists in creating user reference guides, training development and other initiatives to promote awareness and support end-users.
  • Assists in maintaining up-to-date research resources across practice group sites as changes/additions occur with the various databases.
  • Assists in driving strategy and product development.
  • Produces white papers on industry hot topics to best inform our attorneys and/or clients on an as needed basis.
  • Works with the Director of Knowledge Management and Research, the Client Solutions Group, Business Development and other departments collaboratively on projects and assignments.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  • High school diploma required. BA, MLS and/or JD desired.
  • 3+ years of legal reference and research experience with deep and broad knowledge of legal materials and databases used to support the firm's vast array of practice areas and jurisdictions.
  • Proficient in legal research databases and software programs to include, but not limited to Westlaw Precision, Lexis+, Wolters Kluwer-VitalLaw, Bloomberg Law, PACER, Courthouse News Service, Checkpoint RIA, HeinOnline, Drafting Assistant, Accurint, Quest and TLO amongst others required.
  • Professional interpersonal skills required in order to communicate and follow instructions effectively and provide information with ordinary courtesy and tact.
  • Customer service focused.
  • Ability to work in a fast-paced environment with demonstrated ability to prioritize multiple competing requests and demands, providing high level of customer service and maintaining a professional demeanor at all times.

Legal Support Coordinator - Memphis

The ideal candidate will have legal administrative experience, be extremely professional, possess exceptional communication and organizational skills, excellent computer skills, have a strong proficiency in MS Word, Outlook and Excel, and the ability to work effectively within a group or independently.  Candidate should type a minimum of 65 words per minute with high accuracy. This position will provide support to several attorneys and work together with Legal Support Coordinators in a team environment.  The candidate should be detail-oriented, personable, and able to work well in a fast-paced environment.

Responsibilities include conducting client conflict checks, opening new files; updating and maintaining files in a timely manner including indexing litigation files for hard copy files as well as online; typing memoranda, correspondence and other documents; drafting basic pleadings from forms such as Notices of Appearance, Consent Orders of Dismissal, etc.,  e-filing in and familiarity with state and federal courts; saving documents into document management system; time entry; processing client bills; transcribing dictation; maintaining calendars with litigation dates and deadlines, as well as other necessary dates; reviewing vendor invoices and requesting checks for payment in a timely manner. This position will work in a team environment supporting attorneys, paralegals, and legal support coordinators, with projects that will include assisting attorneys and paralegals in preparation for hearings, mediations, arbitrations, trials; and other clerical duties and special projects as assigned.  Experience with eDiscovery software such as Logikcull or Relativity is a plus.

Estate Planning and Administration Position - New Olreans

Baker, Donelson, Bearman, Caldwell & Berkowitz, PC has an immediate opening for an experienced Estate Planning/Estate Administration/Successions position in its New Orleans office. Estate Planning responsibilities include data input and organization related to the preparation of wills, trusts, powers of attorney, beneficiary designations, and various other estate planning instruments. Estate Administration & Successions responsibilities include assistance with matters such as identifying and marshaling assets, preparing probate petitions, maintaining a calendar system of court and other deadlines, maintaining financial records of the estate, preparing inventories and accountings, and fulfilling many other functions throughout the succession (probate) process. The ability to interface with clients and financial institutions as part of the information-gathering process is a must. Responsibilities may also include assistance with the preparation of trust accountings, estate and gift tax returns, and income and fiduciary returns. Client contact is to be expected. Applicants should have substantial experience with respect to preparing estate planning, estate administration, and probate instruments. Business Development Manager - New Orleans

Baker, Donelson, Bearman, Caldwell & Berkowitz, PC has an immediate opening for a Business Development Manager in the Marketing and Business Development (MBD) Department in its New Orleans office. Applicants residing outside of New Orleans but within the Firm's footprint may be considered as well. This Manager will work primarily with the litigation department and individual attorneys to drive revenue growth through the creation and execution of business development strategies. The Manager will be responsible for ensuring a collaborative, coordinated, and structured approach to business and client development, targeting, pitching, marketing campaigns, and credentialing across the assigned groups. The Manager will report to the Director of Business Development. 

Essential duties and responsibilities for the Manager include:

  • Proactively identifying, executing on, and providing strategic guidance for all marketing and business development opportunities for assigned groups and attorneys, including creating, executing, tracking, and reporting on business development goals and targets.
  • Collaborating with the relevant MBD subject matter experts to execute on marketing and business development activities, including responses to RFPs, PR, events, sponsorships, directory submissions, social media, marketing collateral, etc.
  • Proactively identifying and coaching attorneys on business development opportunities and collaborating with MBD members to provide customized supporting materials.
  • Educating groups about client relationship management best practices and ensuring that they are adopted.
  • Identifying and developing strategic client growth plans and partnering with lawyers for successful execution.
  • Analyzing, and conducting as needed, research on clients, industries, and other service providers.
  • Coordinating and actively participating in regular meetings of groups, tracking subsequent action items to completion, and reporting on the outcomes.
  • Creating and maintaining marketing materials for assigned groups, including capturing experience and case studies.
  • Developing, monitoring, and leveraging marketing budgets for assigned groups to ensure maximum ROI.

Qualifications:

Strong attention to detail and excellent communication skills are required, as are advanced skills in research and Microsoft Office applications.  Previous experience in legal or professional services marketing or sales is required.

Working Conditions:

Normal office environment with little exposure to excessive noise, dust, extreme temperatures, and the like.  The nature of the legal industry requires that some of the job responsibilities be completed during non-business hours.  In accordance with industry standards, it is expected that Information Security professionals be flexible with regards to availability when work must be performed during non-business hours.  Occasional travel required.

Electronic Billing Specialist - Remote

Baker, Donelson, Bearman, Caldwell, & Berkowitz PC has an immediate opening for an Electronic Billing Specialist. This position is 90% remote working from a Firm office two days a month. This position may be associated with any Firm office location. The successful candidate will be responsible for all aspects of executing attorney eBilling. This position requires a detail-oriented person with excellent critical thinking skills; multi-tasking abilities in support of a large, fast-moving law firm; a team player attitude with a positive outlook; excellent verbal and written skills; ability to work independently and a self-starter; a professional and punctual manner; flexibility to work overtime when needed; and the ability to tackle challenges and work efficiently and effectively and handle other duties and responsibilities, as assigned.

This role requires fluency in Microsoft Office programs / applications, Aderant or other legal accounting software experience. A minimum of 2 years college and an accounting background are preferred. Will train the right candidate

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Works with appropriate firm personnel to ensure new clients/matters are set up correctly in the required eBilling platform.
  • Addresses and responds to questions on electronic billing issues. Follows through in a timely manner to ensure questions are satisfactorily addressed.
  • Manages the electronic invoice submission process through payment; while tracking exclusions and appeals, deadlines, etc.
  • Monitors new timekeepers to ensure they are on approved rate cards for efficient invoice approval and payment.
  • Monthly reconciliations between BillBlast and legal software system to ensure all invoices have been successfully eBilled. Follows up as needed.
  • Weekly review of eBilling status through BillBlast to ensure there are no issues.
  • Works with BillBlast to resolve electronic billing problems.
  • Reviews and ensures the eBilling guidelines are noted on the appropriate matter notes.
  • Ensure monthly eBilling is completed by firm deadlines.
  • Prepare documentation and process mark-downs in accordance with Firm policy.
  • Ability to professionally and effectively interact and communicate with attorneys, secretaries (assistants), administrative staff and clients.
  • Review and verify accuracy of billing and supporting documentation as required, including cost back up documentation.
  • Research and respond to inquiries regarding billing issues and problems.
  • Understand and apply Firm billing policies.
  • Understand and comply with individual client billing guidelines.

  • Proactively addresses errors that may result in delays in uploading or rejection of invoices.
  • Analyze and problem-solve eBilling rejections independently, without additional escalation.
  • Facilitate the set-up of clients who are transitioning to electronic billing or changing electronic billing vendors to ensure a smooth transition.

 KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED

  1. Knowledge of various computer software programs to perform duties and responsibilities (Excel, Word, Aderant, BillBlast and various eBilling platforms.)
  2. Must have good organizational, communication and math skills.
  3. Must be detail oriented.
  4. Must be able to endure highly stressful situations and constant disruptions.
  5. Overtime when needed.

Corporate/Transactional Paralegal - Nashville

Baker, Donelson, Bearman, Caldwell, & Berkowitz, P.C. has an immediate opening for an experienced Corporate / Transactional Paralegal in its Nashville, TN office. All candidates must have either a bachelor’s degree and/or a paralegal certificate from an ABA approved paralegal program, and five years of prior corporate experience. 

Responsibilities include the following:  Annual Report filing; draft, file and manage various business entity documents for corporations, LLCs and partnerships with state agencies; arrange UCC/litigation/lien searches; prepare and file UCC documentation; preparation of stock ledgers and stock certificates; assist with Form 4 filings; collect pertinent documentation and arrange information in either internal or external virtual data rooms; assist with due diligence including preparation of ­­­­­­disclosure schedules and electronic closing binders. Knowledge of Corporate Transparency Act and SimplyAgree software considered a plus.

Candidates should possess strong organizational, interpersonal, and communication (oral and written) skills. All applicants should have an aptitude for detail and multi-tasking; the ability to work efficiently, and to work under pressure with or without direct supervision.
